Rio Softworks is a division of Rio Leads AI LLC, a Texas limited liability company. In this policy, "Rio Softworks", "we", "us" and "our" mean Rio Leads AI LLC, doing business as Rio Softworks. This policy explains what personal information we receive through riosoftworks.com and when you contact us, what we do with it, and the choices you have.

In short

The site has no forms, no analytics, no advertising and no tracking tools, and we do not set cookies.
We receive your information only when you call or text us, message us on WhatsApp or email us.
We use it to talk with you about your business and, if you hire us, to do the work. We do not sell it.

1. Who this policy covers

People who visit riosoftworks.com.
People who contact us, whether or not they own a business.
Customers of the businesses we work for, as Section 6 explains.

2. What we receive

When you visit the site. The site does not ask you for anything. Like every website, it is delivered by a hosting provider, whose servers receive your IP address, your browser type and the pages you request in order to deliver them. The hosting provider keeps these technical records under its own policies. We do not use them to identify you. If you choose a light or dark theme, your browser remembers that one choice on your device. It is not a cookie, and it is never sent to us or to anyone else.

When you contact us. The site's contact links open your phone, WhatsApp or email app. We receive what you choose to send us, for example:

your name and your business's name;
your phone number or email address;
what you tell us about your business and the problem you want to solve, including any voicemails, photos, voice notes or files you leave or send.

If we talk, we may keep notes of the conversation and copies of any proposal or agreement that follows.

Please do not send us payment card numbers, Social Security numbers, passwords or health information. If we need access to one of your accounts to do work for you, we will arrange it as our written agreement says, not by message.

3. How we use it

To answer you and talk about your business and the problem you want to solve.
To prepare a proposal and, if you hire us, to do the work and bill for it.
To keep our business, tax and legal records.
To protect our rights and to comply with the law.

We do not sell your personal information, and we do not use it for advertising. We do not make automated marketing calls or send automated marketing texts.

We share personal information only as needed with the companies that carry our messages and keep our records:

our website hosting provider;
our email providers;
WhatsApp, when you message us there;
our phone service provider, which keeps records of calls and texts, and voicemails with any transcripts of them;
the tools we use to keep notes, documents and business records;
our payment processor, if you become a client and pay us.

Each of these companies handles information under its own terms and privacy policy. Ask us and we will tell you which companies we use.

We may also disclose information when the law requires it, or to protect the rights or safety of anyone. If Rio Softworks becomes a separate company, or our business is sold or reorganized, your information may move with it, and this policy continues to apply until it is changed as Section 11 describes.

5. How long we keep it

We keep what you send us for as long as we need it to talk with you and, if you become a client, to do the work and keep our business, tax and legal records. If we do not end up working together, you may ask us at any time to delete it. Copies held by WhatsApp, your email provider or your phone carrier are kept under their own policies, and deleting ours does not delete those.

6. Information we handle for the businesses we work for

When we build or run a tool for a business, the tool may handle information about that business's own customers, such as names, phone numbers and service history. In that work, we act for the business. We use that information only to do the work the business hired us for, as our written agreement with the business says, and we remove it when the work ends, as that agreement says. We do not sell it or use it to promote our own services. The business decides what it collects from its customers and why.

If you are a customer of a business we work for, please ask that business first about your information. You may also contact us, and we will help.

7. Your choices and rights

You may ask us to:

tell you whether we hold personal information about you, and give you a copy;
correct it;
delete it;
stop contacting you.

Contact us by any of the ways listed on our Contact page. We may ask you to confirm who you are before we act. We respond within 45 days. If we cannot do what you ask, we will tell you why, and you may ask us to reconsider by replying to that answer. We respond to that appeal within 60 days.

When we delete your information, we may keep what the law requires us to keep, such as tax records and signed agreements. We also keep a record that you asked us not to contact you, so that we can keep honoring it.

We offer these rights to everyone, wherever you live. We do not sell personal data, use it for targeted advertising, or use it for profiling that produces legal or similarly significant effects.

8. Security

We take reasonable steps to protect the information we hold. No way of storing or sending information is completely secure, so we cannot promise absolute security. If a breach affects your information, we will notify you as the law requires.

9. Children

The site and our services are meant for businesses and adults. They are not directed at children under 13, and we do not knowingly collect personal information from them. If we learn that we have, we will delete it.

10. Other websites and where information is processed

The site links to other websites, such as WhatsApp and rioleads.ai, which have their own privacy policies. The AI receptionist shown on our site is a Rio Leads AI service, offered under the privacy policy and terms of service published at rioleads.ai.

We are based in Texas. Information you send us is processed in the United States, and our providers may also process it in other countries where they operate. If you contact us from Mexico or another country, your information will be processed in the United States.

11. Changes to this policy

We may update this policy. When we do, we will post the new version here and change the "Last updated" date. If a change is material, we will also tell the clients we work with, by email, at least 30 days before it takes effect.

12. Language

This policy is published in English and Spanish. Both versions are meant to say the same thing. If they differ, the English version controls.
